Privacy policy
Updated 15 October 2026
ShipFindings is operated by YAS SP Z O O. It provides inspection tools and private company workspaces. For privacy questions and requests, contact [email protected].
Information you provide
The app can store inspection details, vessel and company details, written observations, photographs, recordings, uploaded rulebooks, previous reports, signatures and generated reports. These materials may contain personal or commercially confidential information. Only upload information you are authorized to use and share.
Company accounts use an email address, a display name, a password stored as a salted hash, and organization membership and role information. Access tokens and device identifiers support authentication and link an inspector's device to the appropriate company workspace.
Your devices and iCloud
Personal inspection data can be stored locally and synchronized through your own Apple iCloud account across your devices. Your company's workspace is separate from this personal iCloud storage. Joining a workspace does not give an owner access to your entire iCloud account. Apple's handling of iCloud data is governed by Apple's privacy policy and your Apple account settings.
Company sharing
When you use company-sharing features, the selected inspection information, evidence and reports are sent to the ShipFindings server. Authorized company members can access this information according to their roles and assignments. An organization may retain shared inspection records independently of the inspector's local copy. Ask your organization about its instructions for inspection records and authorized access.
AI processing
When you request AI-assisted transcription or report preparation, the relevant text, recordings, photographs or documents needed for that request are processed through the ShipFindings backend using Google's Gemini service. This can include material from your rule library and previous reports used to inform a draft's references and wording. Do not send material to AI processing unless you have permission to do so. AI output requires professional review.
Google processes service requests under the terms and data-handling settings applicable to the configured Gemini service. This policy does not promise that uploaded documents train a dedicated model, or that a third-party provider never retains request data.
Permissions and technical information
The app requests access to the camera, microphone or selected photos when needed for the feature you use. You can manage permissions in device settings. Server security and operational records may include request times, IP addresses, device identifiers and error information. These records support authentication, troubleshooting and abuse prevention.
Access requests through the website
If you submit an access or pricing request, we receive the name, email, phone or WhatsApp number and comment you choose to provide. The form uses our existing YAS lead service to deliver the request. We use these details to respond and arrange access.
Retention and your choices
Local and iCloud copies remain under your device and Apple account controls. Shared company records and account information are retained while needed to provide the workspace and maintain its inspection history, subject to applicable legal and organizational requirements. Removing a local copy does not automatically remove an already shared company record.
To request access to, correction of or deletion of personal information held by ShipFindings, write to [email protected]. We may need to verify your identity and coordinate with the organization responsible for a record. This contact channel is not an automatic deletion function. Depending on applicable law, some records may need to be retained; we will explain any relevant limitation when responding.
Service providers and international processing
Data is processed by the infrastructure and AI providers needed to operate the service, including Apple for iCloud and Google for Gemini requests. Provider processing may take place in countries other than your own. We do not use inspection content for advertising or sell it to advertisers.
Changes and contact
We will update this page when our data practices change. For questions or to exercise rights available under applicable data-protection law, contact YAS SP Z O O at [email protected]. You may also contact your local data-protection authority.
